2016 DEER RUN 18-HOLE LADIES GOLF LEAGUE

 General Information

“It’s All About The Golf”

MEMBERSHIP

Membership in the league is available to all female golfers, 18 years of age or older. All golfers must establish a handicap (with a minimum of five scores not necessarily from Deer Run) to participate in the weekly events. The maximum handicap allowed for new members and for scoring events is 40.  Membership in the league is for the calendar year only.

COST

$85.00 Membership Dues for 2016 members
$30.00 Fee to maintain a GHIN Handicap at Deer Run

League fees are non-refundable after the first day of golf.

LEAGUE GOVERNANCE

The League is governed by a five-person Board according to its By-laws. Elections for open Board positions are held at the Fall Luncheon. In September, we ask members to sign up to be a Committee Chairperson or volunteer. We have volunteer opportunities for everyone who is willing to be involved. If you are new to the league, please consider joining a committee. This is a fun league with lots of interesting, hard working members, and the success of our league depends on our volunteers.

FINANCES

The League Treasurer generates a budget, pays all bills, and gives a financial statement at the end of the year. The league carries a small cash balance from year to year. Most of the money we collect in dues is paid out in prizes.  The Board sets the level of the dues to support the event and tournament payouts, luncheons and league administration.  Once dues have been collected, the monies belong to the league and no claims can be made by the league members or former members for unspent money.  Once the league has started, there will be no refunds.

We post this General Information document on the Deer Run website along with the League Event Calendar, League Policies and New Member Application.

Golf Genius Website:

Once you become a league member, you will be assigned a user log-in to the Golf Genius website.  All communications such as the weekly newsletter, member directory, rotation schedule, weekly events, weekly results, photos, etc. will be posted on that website.  Please make sure you check the website before golf on Tuesday.

Member information such as phone numbers/addresses is private and for league use only.

LEAGUE PLAY

ROTATION:

The Golf Genius Website software generates the rotation each week based on who is available to play.  Last minute adjustments will be made by our Rotation Coordinator Pat Calhoon. The rotation schedule is posted on the Golf Genius website.  Cancellations must be made by the Saturday evening prior by Midnight.  Cancellations can be made three ways:  directly on the Golf Genius website;  Absentee Book in the clubhouse, or directly to Pat Calhoon.

LEAGUE DATES

Every Tuesday, beginning May 3 through September 20.

TEE TIMES

Our first tee times vary due to morning temperature differences as follows:

May – Tee times start at 8:00 a.m.
June, July, and August – Tee times start at 7:30 a.m.
September – Tee times start at 8:00 am

HANDICAPS

Deer Run uses GHIN to compute and update handicap information. All members are required to have a GHIN whether established at Deer Run or another club. Deer Run charges $30 to establish a GHIN which is payable each year. Those exempt from the required fee are: Deer Run members, Shareholders, Loyal Player Package owners, Deer Run Employees and if you already carry your GHIN at another club.

We require all members to have a handicap. You will need to post five scores to establish a handicap. The maximum handicap that is used for handicapped events is 40.  Once you have established a handicap, Golf Genius will automatically post your adjusted score.

WEEKLY EVENTS

Each Tuesday we play a game. The Golf Genius website will provide information about the week’s game. It will also be posted on the front door when you arrive. In addition to the weekly game, additional special events will be included. The special events will depend on that week’s event and could be any of the following: low gross or low net (for each flight), longest putt, closest to the pin, closest to the line, etc. For the hole events, there will be a marker at each individual tee box.

Golfers are flighted by handicap and the Events Committee works hard to make certain that payouts are equitable. This year (2016), we have determined that there will be four flights. The number of flights will stay constant throughout the season. Event results and prize money are posted on the Golf Genius website. Event winnings will be paid out in cash. Prize winning cash will be distributed at mid-year and Fall Luncheon. We pay out the tournament, pools (birdie, chip-in and hole-in-one), putting, ringers and most improved prize money at the end of the year at the Fall Luncheon.

CANCELLED GOLF (DUE TO WEATHER):

League members will receive an email by 7 a.m. Tuesday morning plus notification on the Golf Genius website if golf will be cancelled for that day. No event money will be paid out if golf has been cancelled. If golf has not been cancelled by 7 a.m., but weather causes a cancellation before everyone finishes, the weekly event money will be paid out if more then half of the scheduled golfers finish. If less then half finish, the pay-out will be prorated.

KEEPING SCORE ON LEAGUE DAY

Each foursome is required to keep two scorecards. Please use full names and complete the scorecards accurately and legibly. Please come into the club house and verify that both score cards match. Double check your addition. On the scorecard, record your actual score (not your adjusted score) and the number of putts on each hole. If you pick up on a hole, please put an X on the scorecard. If you pick up on any hole, you will not be eligible for the event that day.

BIRDIES, CHIP-INS AND HOLE-IN-ONE POOLS

When you join, you can participate in a fund that pays out prize money for birdies, chip-ins and a hole in one. To participate, you contribute $5 for birdies, $5 for chip-ins and $1 for a hole-in-one. If you have any of these on league day, record it on the scorecard. At the end of the year, all this money is distributed to members who contributed and posted birdies, chip-ins or a hole in one.

RINGERS

Our automated scoring system now keeps track of Ringer information. However, you can keep your own Ringer card if you like. There is a box on our 18-hole golf league table for ringer cards. The first week you fill in your entire score. Each subsequent week, mark the date and your scores on improved holes. At the end of the season, tabulate your best score. Prizes are awarded at the end of the year by flight for the best round.

PLANNED ABSENCES

If you know you will not be at golf on a specific Tuesday, you now have three ways to sign-out:  1)  opt-out for that date on the Golf Genius website;  2)  sign out in the Absentee Book that sits on the 18-hole golf league table; or 3)  directly contact Pat Calhoon. This allows the Rotation Coordinator to balance the rotation. If she has to change your time due to others’ absences, she will call you and make sure you can change.

UNEXPECTED ABSENCES

If something comes up and you will not be able to play on Tuesday, please call or email the Rotation Coordinator and let her know as soon as possible. If this is before Midnight on Saturday evening, you will not be charged a No-Show Fee. If you have to cancel after Midnight on Saturday, or you just do not show up, you will be charged a No-Show Fee. In the event of a No-Show situation, an e-mail will be sent to the league member requesting that she mail another check to the Treasurer. Members will not be eligible for prizes if they do not have a No-Show check on file.

We have a two-person committee that has volunteered to provide members with an opportunity to appeal to have their No-Show fee waived. Since waiving this fee has a direct financial impact on Deer Run, only unforeseen crisis circumstances will be considered.

NSHOW FEES

In order to maintain pace of play, we need balanced tee times. On Monday morning, we inform Deer Run how many tee times we will need that Tuesday. If league members do not cancel or they do not show up, Deer Run loses revenue because they can not sell that tee time. No Show Fees are based on your golf classification:

Member-<55 - $43
Member- >55 - $40
Unlimited Season Pass Holder, Shareholder, Employee - $15

TOURNAMENTS

There are two tournaments during the season: a Four-Ball Tournament in June and a Medal Play Tournament in August. Both tournaments are played in flights. The Four-Ball Tournament is a two-week event that takes the better net score on each hole of you and your partner. You must play both weeks to participate. Partners’ handicaps must have a difference no greater than 10. You must have an established handicap to play. If you do not have a partner and want to participate, you will be paired up. The Medal (Stroke) Play Tournament takes place over 2 weeks. You need to play both of those dates. Total gross and net scores for the two weeks will be used to determine winners. Prizes for both tournaments will be awarded at the Fall Luncheon.
